Let’s go back after the summer break with the weekly column Architectural prompt: is the turn of the section The technician prompt. Generative tools for design professionals Curated by Avv. Giovanna Panucci, specialized in protection of personal data and artificial intelligence and expert in Prompt Engineering.
As we saw with the previous outings – You find them all here – This section has the aim of democratizing the use of artificial intelligence tools, making them accessible and useful also for engineers, architects, surveyors and technicians: each article translates the complexity of prompts in a practical and everyday use language, to help professionals fully exploit the potential of the AI. Let’s see today’s prompt.

Prompt to transform notes and photos into a technical inspection report
After the summer break we resume with new practical ideas on how to use the IA in daily work. This week’s theme is: the editorial staff of minutes after the technical inspections. Each technician knows the problem: scattered notes are collected and some shots on site, and then you have to run to the studio to write an orderly report.
With this prompt, the IA becomes a technical secretary who automatically organizes notes and photos in a legible, complete and professional document. And with GPT-5 this becomes even simpler: the new model, released in August 2025, is in fact much more skilled in returning outputs already (almost) structured and ready for use.
The process is always the same:
- Position yourself on GPT-5 car via the model selector at the top left;
- Prepare an .doc file containing the details and descriptions of the list below;
- The photos are attached if pertinent;
- Press send.
Prompt to copy and paste on chatgpt
Here is the prompt to copy and paste on GPT-5.
Act as an expert technical assistant in charge of drawing up a report of inspection.
Receive in input:
- Date and place of the inspection
- Subject of the inspection (immobile, construction site, left, etc.)
- List of environments or inspected areas
- My notes as a technician (defects, anomalies, measures)
- Summary description of the photos taken (e.g. “Photo 1: vertical crack in the south wall, height 1.5 m”)
- Any photos
With these data, return a minutes in text format, divided into 5 sections:
- Header (date, place, object, technicians present)
- Inspection description (methods, used tools, general conditions)
- Punctual reliefs for the environment/area, recalling photos in the notes (eg “See photo 1”)
- Preliminary assessment (critical issues found, possible risks or emergencies)
- Conclusions and next steps (actions to be taken, requests for additions, next date)
Keep a technical but clear language, formatted with lists and subsections to make the minutes ready for use in relation or expertise.
If the data provided are incomplete, let me targeted questions to integrate information.
